1.  How do I purchase items from the APApractice.org store?
You may only purchase items with a credit card. We accept Visa, MasterCard, Discover, and American Express. In an effort to keep the price of the product as reasonable as possible, we are only able to process online credit card orders.

2.  Is the personal information I am entering online secure?
APApractice.org and the APA Practice Organization are serious about protecting the Privacy and Security of your personal information.

To insure the security of your personal information, we use 128-bit Secure Socket Layer encryption for all personal data that is submitted -- the industry security standard for Internet-based electronic commerce. To improve the speed at which the shopping cart pages load in your Internet browser, we only encrypt sensitive, personal information. Non-personal information on the page is loaded without encryption. As a result, "Security Alerts" may appear throughout the purchase process depending on the security settings of your computer. Also, depending on your browser type and settings, you may or may not be able to see an icon of a "lock" on the bottom right side of your browser window.

3.  How can I find my APA Membership number?
Your APA Member Number is listed on the mailing label of your APA Monitor, the American Psychologist, or any other APA Journal you receive. You can also obtain your number by calling the APA Membership Service Center at 1.800.374.2723.

4.  Why do I have to provide a valid email address?
You must provide a valid email address as you will receive an email confirming your purchase as well as instructions for accessing your courses. If the address you provide is incorrect, you will not receive the necessary course instruction. Please be sure your proper email address is included.

5.  Can I access my courses from more than one computer?
Yes. Using your email address and password, you can access the courses you have purchaed via any computer that is connected to the Internet.

6.  Who do the HIPAA Privacy and HIPAA Security Rules apply to?
The HIPAA Privacy and HIPAA Security Rules apply to all health care providers - from those in large multi-hospital systems to individual solo practitioners. The Privacy Rule provides specific protections for protected health information (PHI). With certain exceptions, the Privacy Rule defines PHI as information that: (1) is created or used by health care professionals or entities; (2) is transmitted or maintained in any form or medium; (3) identifies or can be used to identify a particular patient; and (4) relates to one of the following: (a) the past, present, or future physical or mental health condition of a patient; (b) the provision of health care to a patient, or (c) the past, present, or future payment for providing health care to a patient. The Security Rule covers Electronically Protected Health Information (EPHI), which is any PHI that is stored or transmitted electronically.

7.  How soon after purchasing my courses can I access them?
You will be able to proceed to the courses you have purchased immediately after completing your purchase.

8.  I?m an AOL user. Why can't I get into my courses?
If you are having problems purchasing courses with your AOL web viewer, we suggest that you attempt to use Microsof4.s Internet Explorer (available for free at https://www.microsoft.com) or the latest version of Netscape (https://channels.netscape.com/ns/browsers/download.jsp).

To locate one of these Internet browsers on your computer, access your "Programs" list; it is likely that your computer already has one or both of these browsers already installed (Internet Explorer is represented by a large, blue "E" icon, and Netscape is represented as a large "N" icon).

10.  I work in a group practice or partnership. Can the practice or partnership purchase one product and let everyone use it?
If the group practice or partnership files a single integrated tax return on behalf of the business entity, it can purchase one product. Only one person will be able to take the CE test and receive the 5% discount on the Trust-sponsored Professional Liability Insurance. If the individual psychologists in the group practice or partnership file separate returns, they will each need to purchase their own product.

11.  Can more than one psychologist receive CE credit by using the same product?
No. Only one psychologist can receive CE credit per product.

Yes, forms for all states are included in the Privacy Rule product. If you practice in more than one state, you can change your user preferences to access forms for any state.

15.  How do I take advantage of my Insurance Trust Policy discount?
Once you have successfully completed the HIPAA Privacy Rule Online Compliance Course and are issued a course completion certificate, you are eligible for a 5% premium discount on your next APA Insurance Trust Policy renewal.

To qualify, please submit a copy of the continuing education certificate, less than 15 months old, to the APA Insurance Trust with your Policy renewal. Unfortunately, the APA Insurance Trust is unable to offer prorations.

16.  How do I get rid of the problem of "strikeout" text appearing when I download, save, and edit my HIPAA forms?
If you are having the problem of "strikeout" text appearing when you download, save, and edit your forms, you must change your settings in Microsoft Word.

Microsoft Word can automatically track any changes that you make to a document; they appear as different color, highlighted text, or crossed out text. To turn this feature "Off" and remove the unwanted text:

1) Open the document you wish to edit in Microsoft Word
2) Click on the "Tools" menu
3) Locate the "Track Changes" option; select "Highlight Changes"
4) When the grey box appears with series of checkboxes, "uncheck" any currently "checked" boxes
5) Click "OK"

You will then be taken back to your document and the problem should be resolved.

17.  Do I have to pass the CE tests before I will be able to download the forms and documents?
No, the CE test is optional and can be taken at any time. You can access and download the forms as soon as you access the product online. We do suggest that you review the entire product prior to downloading the forms to ensure that you understand how and why these forms are used.

18.  Is there a book or file I can print out?
The HIPAA Privacy Rule Online Compliance Course does not come as a book. Our goal was to present the information in a more flexible, dynamic, and interactive manner. All of the materials in the resource section are Microsoft Word documents and can be downloaded to your computer, customized to suit your practice, and printed out.

The forms are Microsoft Word documents. Please note, however, that the educational material provides important background information and context to both the general and state-specific forms. Therefore, it is recommended that purchasers review the educational material before using the forms.

23.  How do I take the HIPAA Privacy Rule Course CE test?
You must be connected to the Internet in order to take the CE exam. The CE test is taken online. You have three opportunities to pass the CE test. Once you successfully pass the CE test and complete the Satisfaction Survey, you will receive a Continuing Education Certificate for four (4) hours of CE credit from an APA approved sponsor. The Certificate will be delivered by email.

24.  Do I have to take the CE test to be considered HIPAA Privacy Rule compliant?
No. The HIPAA Privacy Rule CE test is for those individuals who wish to receive four (4) CE credits and a five percent discount on the APA Insurance Trust-sponsored Professional Liability Insurance for one year.

25.  How do I get my HIPAA Privacy Rule Online Compliance Course CE Certificate?
After successfully completing the HIPAA Privacy Rule Online Compliance Course CE exam -- as well as the required satisfaction survey -- a CE certificate window will appear. Print the certificate at this time, which entitles you to four (4) APA-sponsor approved continuing education credits.

Please Note: You must be connected to the Internet in order to take the CE exam. The test has 20 multiple-choice questions and you have three chances to successfully complete the test. If you begin to complete the test and stop, the answers you have completed will not be saved, so please fully complete the test after you begin taking it.

26.  I have a promotional code number from my State Psychological Association. Where do I put this number?
When you choose one of the HIPAA Privacy Rule Online Compliance Course options on the main catalog page, a "promotional code" box will also appear. There is also a promotional box at the bottom of the "Shopping Cart Total" page. (scroll down). You may enter the SPTA promotional code on either one of these pages. These codes are only available from your State Psychological Association.

27.  I am not practicing currently, but may do so in the future. When will I need to comply with the HIPAA Privacy Rule?
If you are not currently practicing, the HIPAA Privacy Rule does not apply to you. However, if you will be practicing in the future, you may wish to purchase HIPAA for Psychologists before April 14, 2003 to take advantage of the early purchase discount. After the date, the price of HIPAA for Psychologists will increase.

1) The "HIPAA Security Rule Online Compliance Workbook" can only be shared with other psychologists without violating the copyright protection if the product is purchased by a group -- or representative of the group -- and that group is a single legal business entity. The test for "what constitutes a single legal business entity" is whether the group or entity files a single integrated tax return on behalf the group or entity.

2) Only one CE test can be taken per purchase, and only the purchaser can earn the CE credits. If more than one psychologists in the group would like to earn CE credits for successfully completing the CE exam at the end of the course, the APA CE rules require that each psychologist purchase and complete a separate individual copy of the course.

43.  How many pages will my website contain?
Your website will consist of five sections. Three pre-set sections titled "Background," "Practice," and "Contact Information." Plus, two optional sections that are determined by you. Additionally, you will have the option of displaying your site in three different color palates, uploading one professional photo, and your CV/Resume.

44.  What will my web address (URL) be?
The URL of all websites at apapo.org are http://www.apapo.org/DrFirstNameLastName. If your name is Dr. Robert Nelson, your URL will be http://www.apapo.org/DrRobertNelson.

45.  Do I get to pick my own URL?
Upon purchasing your site, the URL for your site is automatically generated. However, you can change your URL to whatever best fits your practice. For example, http://www.apapo.org/DrRobertNelson can become http://www.apapo.org/DrNelsonAssocates, http://www.apapo.org/DrRobertNelson or any variation that best fits your practice. To request a change in your URL, send an email to practicesites@apa.org.

46.  What if another practitioner with the same name has already purchased one?
Because your web address is automatically generated, there is a chance that those with common first and last names may have to choose a unique address. If you have questions or wish to change the URL of your site, send an email to practicesites@apa.org.

47.  Will I be able to change my web address?
Yes, you may change your site's web address. Robert Nelson's address is: http://www.apapo.org/DrRobertNelson. He can change his address to read: http://www.apapo.org/RobertNelsonPHD or whatever he thinks best represents his practice. If you have questions or wish to change your sites address, submit your request by sending an email to practicesites@apa.org.

To begin adding information to your Administrative site, you must login with your APApractice.org username and password at the following: http://www.apapo.org/admin.

49.  What username and password do I use to login to my Admin Site?
When logging into your Admin Site, use your APApractice.org username and password that you created when registering for APApractice.org. If you cannot remember your login information, send an email to PortalWebmaster@apa.org.

50.  Do I need to add my own information to my site?
Yes. Upon purchase, your site contains no content or personal information. You will need to add and update all the information describing you and your practice. For assistance, read the User Guide link contained in your purchase receipt email.

51.  What should I do if I need help adding my information to my site?
If you need help building or updating your site, please consult the User Guide (available via the email purchase receipt as well as on your Admin site). If you need additional help, please submit a technical support ticket by clicking on the "Technical Support" link under the "Need Help?" menu after logging into your Admin site.

52.  How often can I update my site?
There are no limitations as to the number of times your site can be updated.

53.  When will my site be viewable to the public?
When you first purchase your website, it is NOT viewable to the public. After adding all the relevant professional information to your site, you need to "Activate" it before it is live on the Internet.

54.  Will you be providing me with regularly updated content for my website?
Yes. We provide you with two optional content feeds that you can choose to display on your website. The first feed contains articles form APA's mental health customer site APAHelpCenter.org, which will cover a variety of topics that are of interest to consumers. The second feed contains news stories from APApractice.org that consist of regularly updated psychology and mental health related news.
